QuickBooks Online vs Xero: Which Fits a US Small Business?
A balanced, criteria-based comparison of QuickBooks Online and Xero for US small businesses, covering accountants, payroll, reporting, apps and switching.

QuickBooks Online and Xero are both mature cloud accounting systems. Either can run the books of many US small businesses well. The better choice depends on your setup, your team and your accountant.
This guide compares them on practical criteria. It avoids prices and plan names, because both change often. Check current pricing on each vendor’s site before you decide.
Start with your requirements
Write down what you need before you open a trial. Answer these questions:
- How many legal entities do you run, and do they need consolidated reporting?
- Will you run payroll inside the accounting system or through a separate provider?
- Do you hold inventory, and in how many locations?
- In how many states do you collect sales tax?
- Do you bill or pay in currencies other than US dollars?
- Do you need reports by department, location, project or product line?
- Which apps must connect, such as your CRM, payments, expense or billing tools?
- Which platform does your CPA firm or bookkeeper use every day?
The last question matters more than it looks. Your accountant’s familiarity affects close speed, tax prep and the cost of support.
Side-by-side on the criteria that matter
Features vary by plan and change over time. Treat this table as a checklist for your trial, not a final verdict.
| Criteria | QuickBooks Online | Xero | What to check |
|---|---|---|---|
| US accountant familiarity | Widely used by US bookkeepers and CPA firms | Used in the US, and widely used in the UK, Australia and New Zealand | Which system your CPA firm supports best |
| US payroll | Offers its own payroll add-on inside the product | Uses integrated third-party payroll providers in the US | Coverage for your states and benefit types |
| Reporting dimensions | Classes and locations | Tracking categories | How many dimensions you need, and on which plan |
| Bank reconciliation | Bank feeds with matching rules | Bank feeds with matching rules | Reconcile one real month in each trial |
| Inventory | Basic quantity tracking on some plans | Basic tracked inventory | Whether you need an add-on for multi-location or assembly |
| Multi-currency | Available on some plans | Available on some plans | Plan level needed and how it handles revaluation |
| Projects and job costing | Project tracking on some plans | Projects feature on some plans | Whether it handles your billing model |
| Contractor 1099s | Supports 1099 tracking | Supports 1099 reporting | The filing route and any extra cost |
| App ecosystem | Large | Large | Native connections for your must-have apps |
One detail is worth knowing early. In QuickBooks Online, multicurrency cannot be turned off once you enable it. Confirm you need it before you switch it on.
Where QuickBooks Online tends to fit
- Your CPA firm or bookkeeper already works mainly in QuickBooks.
- You want payroll and accounting in the same product.
- You report by class and location, such as department and branch.
- You want US-specific features without adding many separate apps.
Where Xero tends to fit
- Your team prefers its interface after a fair trial.
- You also have operations in the UK, Australia or New Zealand.
- You are comfortable running payroll through a separate, integrated provider.
- Your reporting needs fit within tracking categories.
Neither list is a rule. Plenty of businesses outside each profile run well on either system.
Signs you may be outgrowing both
Both products serve small and mid-sized businesses. As you grow, some needs push past what either does well on its own:
- Multiple entities: consolidation with intercompany eliminations each month.
- Complex inventory: manufacturing, assemblies, lot tracking or many warehouses.
- Revenue recognition: ASC 606, the US revenue standard, gets complex with multi-element contracts.
- Controls: many approval levels, user audit trails or audit-ready workflows.
You can often extend either system with add-on apps. At some point, though, a mid-market ERP becomes simpler than a stack of add-ons. ERP means enterprise resource planning, a system that links finance with operations.
Costs beyond the subscription
The monthly fee is only part of the cost. Build a full first-year view:
- The plan that covers your must-haves, not the entry plan
- Payroll, if billed separately
- Add-on apps for inventory, expenses, billing or reporting
- Migration and setup time
- Training for your team
- Accountant time during the first close on the new system
Check current pricing for each item. Vendors change tiers and bundles, and promotional prices expire.
What switching really takes
If you already use one system, switching has a real cost. Plan for these steps:
- Pick a cutover date. The start of a fiscal year or quarter is cleanest.
- Decide on history. Bring opening balances only, or migrate full transaction history.
- Map your structure. Rebuild the chart of accounts and reporting dimensions.
- Reconnect banks and rules. Re-create bank feeds and matching rules.
- Rebuild integrations. Reconnect payroll, payments, CRM and expense tools.
- Tie out the trial balance. The opening trial balance must match the old system exactly.
Avoid switching during a year-end close or just before tax filings.
How to run a fair trial
Set up a trial or demo company in each system. Run the same five tasks in both:
- Reconcile one real month of bank transactions.
- Enter, approve and pay three supplier bills.
- Raise an invoice, record a partial payment and send a reminder.
- Run a P&L by department or location.
- Connect your two most important apps.
Score each task on time taken and errors made. Ask the people who will do the work daily to score it too.
Pick the system your accountant can support well and your team will use correctly every day.
Where to start
- List your must-haves: entities, payroll, inventory, sales tax states, currencies and reporting dimensions.
- Ask your CPA firm which platform they support best, and why.
- Run the five-task trial in both systems, then check current pricing for the plan that covers your list.
